Why it matters for manufacturers
- Plants may receive the same invoice by email, post and portal. Each plant may then enter it.
- Recurring bills such as gas rental and maintenance contracts have the same amount each month, so a repeat looks normal.
For manufacturers in NetSuite
- Set Duplicate Number Warnings to Warn and Block at Setup > Accounting > Preferences > Accounting Preferences, on the Items/Transactions subtab. Oracle lists vendor bills and vendor credits among the affected types.
- Warn and Block works on the document number and stops the save. The Reference No. field gives a separate warning that a user can override with OK.
- Subcontractors often bill per batch. Put the batch or work order number in the Memo and the supplier's invoice number in Reference No. so each bill has a unique reference.
What NetSuite does on its own
When a vendor bill is saved with the same Reference No. as another bill for that vendor, NetSuite may show a warning, and you can click OK to save anyway. The Duplicate Number Warnings preference also has a Warn and Block option that stops the save of a repeated document number on vendor bills and vendor credits.
- The Reference No. warning can be overridden with OK.
- Warn and Block works on the document number, so a re-typed number or a different format will not trigger it.
With Warn and Block on, the user must click Cancel and change the document number before the record saves.

Example
Example Motion Parts sends invoice 3310 for conveyor belts. The plant enters it from the email. Head office enters it again from a statement a week later.
| Line | Amount | What the check finds |
|---|---|---|
| Invoice 3310 entered by Plant 2 | $4,600.00 | First entry |
| Invoice 3310 entered by head office | $4,600.00 | Same supplier, amount and number |
| GST on both | $460.00 | Would be claimed twice if both are paid |
The check flags the second entry. Only the first goes to approval, and the plant is told not to enter bills that arrive from the supplier statement.
Common mistakes
- Letting plants and head office both enter bills for the same supplier.
- Ignoring flags at month end because the bill looks like a normal recurring one.

Common questions
How do I stop a subcontractor invoice being entered twice in NetSuite?
Use the Duplicate Number Warnings preference with Warn and Block. It stops the save of a repeated document number on vendor bills and vendor credits. Also key the supplier's invoice number in Reference No., which gives its own warning.
Why do manufacturers get duplicate bills?
The same bill arrives through several routes and several people enter it. Month-end rush makes it worse. Agree one inbox and one person per supplier, then check supplier, amount and date.
How do I find duplicates already in NetSuite?
Make a saved search on the Vendor Bill transaction, show Vendor, Reference No. and Amount, and sort by vendor then reference. Repeats sit next to each other.
