HOW-TO

How to bulk change account codes on vendor bill records in NetSuite

Short answer

In NetSuite, find the vendor bill records on the wrong account, check the period is open, then recode them in bulk if NetSuite allows it, or journal the difference.

Bulk changing account codes means moving many bills or lines from one account to another in one go, usually after finding a coding mistake.

Before you start

  • Permission to run mass updates
  • Bill is listed as a supported transaction type

The NetSuite way

Where to find it: Lists > Mass Update > Mass Updates > General Updates > Transactions > Bill

  1. Go to Lists > Mass Update > Mass Updates and expand General Updates.
  2. Choose Transactions, then Bill.
  3. On the Mass Update Fields subtab pick the field to change.
  4. Set the criteria to find the bills and run it.

Limits in NetSuite

  • Fields on a mass update are those you can search on. They are fields outside subtab lists with no dependency on other fields, so line fields such as expense account are not available.
  • For transactions, fields not shown on your preferred form are not offered.
  • If the mass update does not fit, Oracle points to the CSV Import Assistant to update data, or a SuiteScript mass update.
  • Bills in a closed period cannot be edited.

The Pulsify way

  1. Fix the account in Pulsify before approval. Pulsify learns from corrections, so later bills for that vendor follow the new account.
  2. For bills already in NetSuite, make the change in NetSuite.

What Pulsify does not do here

  • Pulsify does not recode bills that are already in NetSuite.
  • Pulsify cannot edit locked periods. Use a journal in NetSuite.

Common mistakes

  • Starting a mass update to change line accounts, which the Bill mass update does not offer.
  • Expecting a field to appear that is not on your preferred form, because fields not shown there are not offered.

Common questions

Can Mass Update change the expense account on bill lines?

No. Mass update fields are fields you can search on that sit outside subtab lists, so line fields such as expense account are not available.

What else can I use to change many bills?

Oracle points to the CSV Import Assistant to update data, or a SuiteScript mass update when the standard mass update does not fit.

Can I recode bills in a closed period?

No. Bills in a closed period cannot be edited. The period has to be open first.

Does Pulsify recode old bills?

No. Pulsify codes bills before they reach your accounting system. Past bills are changed in your accounting system.
