Coding one bill to several accounts means each line of a supplier invoice goes to the expense or asset account that matches what was bought. What is chart of accounts?
Before you start
- Permission: Bills (Edit)
The NetSuite way
Where to find it: Transactions > Payables > Enter Bills > Expenses subtab
- Add one expense line for each account.
- Set Account and Amount on each line, plus Memo, Department, Class or Location if you use them.
- Check the lines add up to the bill total.
- Save.
Limits in NetSuite
- Each line is a fixed amount.
- Tax code on lines depends on your tax setup (see the GST notes).
Words NetSuite uses
- Department. A tag on each line used to report costs by team or cost centre.
- Class. A second tag on each line, often used for job type or business line.
- Location. A third tag on each line, often a branch, warehouse or site.
The Pulsify way
- Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the vendor in NetSuite.
- Pulsify suggests an account for each line from past bills for that vendor. Each line gets its own account and tax code.
- Check the suggestions in Pulsify, change any that are wrong and approve.
- The vendor bill is created in NetSuite with the right account on every line.
Pulsify connects to NetSuite. We set up the connection for you.
What Pulsify does not do here
- Pulsify can only pick from the accounts that exist in NetSuite.
Common mistakes
- Saving a bill whose expense lines do not add up to the supplier invoice total.
- Using a form that does not show the Tax Code column, so lines are coded without GST.

Common questions
Where do I add more accounts to a vendor bill?
On the Expenses subtab add one line for each account. Set Account and Amount on each line, plus Memo, Department, Class or Location if you use them.
Do the lines have to add up to the invoice?
Yes. Check that the line amounts add up to the bill total before you Save. Each line is a fixed amount, so work out the dollars for each account first.
Can each line have its own tax code?
Where the Tax Code column shows, yes. The column depends on your form and tax setup, so check it is visible before you code several lines.
Does Pulsify learn how I code?
Yes. Pulsify suggests an account for each line from how that supplier was coded on past bills. You can change any suggestion.
