HOW-TO

How to code a vendor bill with mixed GST lines in NetSuite

Short answer

In NetSuite, set the tax code on each line of the vendor bill. Use the GST code for taxable lines and the GST-free code for others, then check the GST total matches the invoice.

Last checked

A mixed GST bill has some lines with GST and some without, such as taxable goods plus GST-free items. Each line needs its own GST code.

Before you start

  • Australia tax codes active
  • Tax code column visible on the line

The NetSuite way

Where to find it: Transactions > Payables > Enter Bills > Expenses subtab

  1. On each line pick a Tax Code, for example NCT-AU for non-capital purchases with GST or CPT-AU for capital purchases.
  2. Use a GST free or no GST code for lines without GST.
  3. Check the tax total at the foot of the bill against the supplier invoice.
  4. Save.

Limits in NetSuite

  • On SuiteTax accounts tax comes from tax rules and nexus, so the line may default and need an override.
  • UNDEF-AU appears when NetSuite cannot work out the code, and it should be fixed before BAS.

Good to know in NetSuite

  • Each Australian code is pre-mapped to BAS boxes.

Words NetSuite uses

  • Tax code. A code on each line that sets the GST rate and which BAS boxes it feeds.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the vendor in NetSuite.
  2. Pulsify works out the GST rate for each line from what is printed and picks the matching tax code in NetSuite.
  3. Check any line where the invoice is unclear. Change the tax code and approve.
  4. The vendor bill is created in NetSuite with the GST on each line.

What Pulsify does not do here

  • If the invoice does not show GST by line, Pulsify uses past bills for that vendor. Check those lines yourself.

Example in NetSuite

Example Fresh Foods sends one vendor bill with cooking oil and produce, plus a capital item. Prices are before GST.

LineAmountTagged to
Cooking oil$192.00Tax Code: NCT-AU
Fresh produce$120.00Tax Code: a GST free code
Display fridge$2,500.00Tax Code: CPT-AU

The tax total at the foot of the bill should be $269.20 (GST on the oil and the fridge). The bill total is $3,081.20. Check both against the supplier invoice before you Save.

Common mistakes

  • Leaving a line on UNDEF-AU and finding it at BAS time.
  • Trusting the SuiteTax default code on a line without checking it against the supplier invoice.

Common questions

Which tax codes do I use for GST in NetSuite?

For example NCT-AU for non-capital purchases with GST and CPT-AU for capital purchases. Use a GST free or no GST code for lines without GST. Each Australian code is pre-mapped to BAS boxes.

What does UNDEF-AU mean on a bill line?

NetSuite shows UNDEF-AU when it cannot work out the tax code. Fix it before BAS, because the line has no proper code behind it.

Why did the tax code on a line change by itself?

On SuiteTax accounts, tax comes from tax rules and nexus, so the line may default to a code. Check each line and override it where the supplier invoice shows something different.

Does Pulsify code GST by line?

Yes. Pulsify sets a GST code on each line from the rate printed on that line and matches it to a tax code in your ledger.
