HOW-TO

How to control vendor bank detail changes in NetSuite

Short answer

Do not change vendor bank details in NetSuite from an email. Phone the vendor on a number you already hold, get a second approval, then update the vendor record.

A bank detail change is when a supplier asks you to pay a new BSB or account. It is a common fraud route.

Before you start

  • Payment Automation SuiteApp
  • Vendor Master Approver or Administrator role (a different user from the editor)

The NetSuite way

Where to find it: SuiteBanking > Payment Automation > Dashboard > Vendors > Vendors Pending Approval

  1. In Payment Automation, edits to vendor bank details, billing address, preferred mode of payment, remittance email and accepted payment modes go to approval routing.
  2. The approver goes to SuiteBanking > Payment Automation > Dashboard > Vendors > Vendors Pending Approval and approves or rejects.
  3. Use System Notes on the vendor record to see who changed what.

Limits in NetSuite

  • The user who changed the vendor cannot approve it.
  • While pending, the vendor cannot be edited or submitted for payment.
  • This is part of the Payment Automation SuiteApp, which Oracle says supports only USD, so most Australian businesses cannot use it.
  • Callback to the supplier is manual.

The Pulsify way

  1. Forward the supplier's invoice to Pulsify.
  2. Pulsify compares the BSB and account number on the invoice with the vendor record in NetSuite.
  3. If either differs, Pulsify flags it with the system value.
  4. Verify with the vendor by phone before you approve.

Pulsify connects to NetSuite. We set up the connection for you.

What Pulsify does not do here

  • Pulsify flags a mismatch. It does not decide whether the new details are real.
  • It cannot verify details a vendor has never had in NetSuite.

Common mistakes

  • Assuming bank detail edits are held for approval when Payment Automation is not in use.
  • Skipping the call to the supplier because the callback is manual.
