A bank detail change is when a supplier asks you to pay a new BSB or account. It is a common fraud route.
Before you start
- Accounts Payable admin
- Approve vendors: List permission
The Sage Intacct way
Where to find it: Accounts Payable > Setup > Configuration > Vendor approval settings
- At the top level enable vendor approval under Accounts Payable > Setup > Configuration > Vendor approval settings.
- New and edited vendors then wait in Approve vendors until an approver accepts them.
- Until approved, no new transactions can be posted and no payments made for that vendor.
- Give Vendors: Bank Details permission only to the users who need it.
- Use the vendor Audit trail to see who changed what.
Limits in Sage Intacct
- A vendor cannot be edited while it has active payment requests once approval is on.
- The help does not describe a call-back step for bank changes.
The Pulsify way
- Forward the supplier's invoice to Pulsify.
- Pulsify compares the BSB and account number on the invoice with the vendor record in Sage Intacct.
- If either differs, Pulsify flags it with the system value.
- Verify with the vendor by phone before you approve.
Pulsify connects to Sage Intacct. We set up the connection for you.
What Pulsify does not do here
- Pulsify flags a mismatch. It does not decide whether the new details are real.
- It cannot verify details a vendor has never had in Sage Intacct.
Common mistakes
- Giving the Vendors: Bank Details permission to everyone in AP.
- Assuming a bank change always triggers approval, when approval depends on how vendor approval is set up.
