HOW-TO

How to stop paying a bill twice in Sage Intacct

Short answer

Before you enter a bill in Sage Intacct, search the vendor's bills for the same number or amount. Use one reference format and check the pay bills for repeats.

Duplicate payment is when the same supplier invoice is entered or paid more than once. It often happens when an invoice arrives by two routes.

Before you start

  • Accounts Payable configuration access

The Sage Intacct way

Where to find it: Accounts Payable > Setup > Configuration > If bills, checks or adjustments are assigned duplicate numbers

  1. In Configure Accounts Payable find If bills, checks or adjustments are assigned duplicate numbers.
  2. Choose Show warning, Do not allow transactions to be created, or Do nothing.
  3. With Do not allow, a bill with the same number for the same vendor cannot be submitted or posted.
  4. With AP Automation, incoming drafts that match an earlier bill are flagged Duplicate and you can view the original.

Limits in Sage Intacct

  • The check is per vendor only. The same bill number from two vendors is not caught.
  • AP Automation only compares against bills previously submitted through AP Automation.
  • The check does not look at amount or date.

The Pulsify way

  1. Forward the supplier's invoice to Pulsify.
  2. Pulsify compares the invoice number with punctuation and case ignored, plus the same vendor, invoice date or tax ID.
  3. It checks other Pulsify documents and active bills in Sage Intacct.
  4. A possible duplicate is flagged. Open the match, then reject or approve anyway.

What Pulsify does not do here

  • Pulsify flags. You decide.
  • A duplicate with a quite different invoice number may not be found.

Common mistakes

  • Leaving the duplicate setting on Do nothing.
  • Relying on the check when the bill number is typed differently, since it works on the number.
