How to set up a new vendor safely in Sage Intacct

Short answer

Before the first bill, collect the vendor's ABN and bank details, check the ABN, phone to confirm, have a second person approve the vendor record in Sage Intacct, then enter the first bill.

Setting up a new supplier safely means checking who they are and where the money goes before the first payment. What is supplier onboarding?

Before you start

  • Accounts Payable subscription
  • AP user role with permission to add and edit bills

The Sage Intacct way

Where to find it: Accounts Payable application

  1. Enable vendor approval so new vendors wait for an approver.
  2. Enter the vendor with ABN and terms. Optionally set Default expense account, Default tax schedule and Bill approver.
  3. Limit Vendors: Bank Details permission.
  4. Check the ABN on ABN Lookup by hand.

Limits in Sage Intacct

  • No built-in supplier onboarding workflow was confirmed.

The Pulsify way

  1. Forward the first bill to Pulsify.
  2. Pulsify flags a vendor not found in Sage Intacct so you add the record with the right details.
  3. It checks the ABN against the ABR and flags an invalid ABN or one not registered for GST.
  4. It compares bank details with the vendor record and flags a mismatch.
  5. Route first bills for new suppliers to a second approver.

Pulsify connects to Sage Intacct. We set up the connection for you.

What Pulsify does not do here

  • Pulsify flags. A person still confirms by phone.

Common mistakes

  • Posting a first bill before the vendor is approved, which is blocked.
  • Entering the ABN without checking it, since there is no built-in check.
