A default account is the expense account a supplier's bills are coded to unless someone changes it. It saves time on repeat suppliers. What is chart of accounts?
Before you start
- Accounts Payable subscription
- Business user with Vendors: Add or Edit permission
The Sage Intacct way
Where to find it: Accounts Payable > Setup > Add next to Vendors > Additional information tab
- Open the vendor (Accounts Payable > Setup > Vendors) and go to the Additional information tab.
- Select a Default expense account. It is the default for bill line items.
- Optionally set a Default tax schedule, a payment Term and a default Payment priority.
- On the Payment information tab set Default bill payment date and preferred payment method.
- New bills for the vendor then use these defaults.
Limits in Sage Intacct
- The default is one expense account per vendor. Default dimensions are not on the vendor record in the article.
The Pulsify way
- Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the vendor in Sage Intacct.
- Pulsify suggests an account for each line from how that vendor was coded on past bills in Sage Intacct.
- Correct a suggestion when it is wrong. Later bills for that vendor follow the pattern.
- Approve. The bill is created in Sage Intacct.
Pulsify connects to Sage Intacct. We set up the connection for you.
What Pulsify does not do here
- There is no setting in Pulsify to fix a default account for a vendor. It learns from past bills.
- A default set on the vendor in Sage Intacct stays in Sage Intacct.
Common mistakes
- Setting one default expense account for a vendor that sells many kinds of cost.
- Expecting the vendor default to fill in department or location dimensions.

Common questions
Where do I set a default account for a vendor?
Open the vendor in Accounts Payable > Setup > Vendors, go to the Additional information tab and select a Default expense account. New bill lines for that vendor use it.
Can I set a default dimension on the vendor too?
The article read does not show default dimensions on the vendor record. It does show a default tax schedule, payment term and payment priority.
Does the default apply to bills I already entered?
No. The default applies to new bills. Existing bills keep the account they were saved with.
Does Pulsify let me set a default account?
Not as a setting. Pulsify learns each supplier's coding from past bills in your accounting system and suggests an account for every line.
