HOW-TO

How to bulk change account codes on bill records in Sage Intacct

Short answer

In Sage Intacct, find the bill records on the wrong GL account, check the period is open, then recode them in bulk if Sage Intacct allows it, or journal the difference.

Bulk changing account codes means moving many bills or lines from one account to another in one go, usually after finding a coding mistake.

Before you start

  • Accounts Payable subscription
  • Bills: List, View, Edit, Reclass; reclassification turned on in Configure Accounts Payable

The Sage Intacct way

Where to find it: Accounts Payable > All > Bills > Edit > Reclassify

  1. For unposted bills edit the bill and change the Account on the lines.
  2. For bills in Selected, Partially paid or Paid state turn on reclassification in Configure Accounts Payable first.
  3. Open the bill, select Edit then Reclassify.
  4. Change the Bill number, Account number, line dimensions or 1099 fields and save.

Limits in Sage Intacct

  • Reclassify works one bill at a time. You cannot change amounts or add and remove lines.
  • The Sage Intacct help describes no bulk account change tool for bills.
  • Not available in the France region.

Words Sage Intacct uses

  • Dimension. A tag on a transaction line, such as department, location, project or class. You report by any mix of them.

The Pulsify way

  1. Fix the account in Pulsify before approval. Pulsify learns from corrections, so later bills for that vendor follow the new account.
  2. For bills already in Sage Intacct, make the change in Sage Intacct.

Pulsify connects to Sage Intacct. We set up the connection for you.

What Pulsify does not do here

  • Pulsify does not recode bills that are already in Sage Intacct.
  • Pulsify cannot edit locked periods. Use a journal in Sage Intacct.

Common mistakes

  • Trying to change a paid bill before reclassification is switched on in Configure Accounts Payable.
  • Expecting Reclassify to change amounts or lines.

Common questions

Can I change the account on a bill that is already paid?

Yes, if reclassification is turned on in Configure Accounts Payable. Open the bill, select Edit then Reclassify and change the Account, dimensions or 1099 fields.

Can I reclassify many bills at once?

Not in the Sage Intacct help. Reclassify works one bill at a time.

What can Reclassify not change?

You cannot change amounts or add and remove lines. For unposted bills you edit the bill and change the Account on the lines.

Does Pulsify recode old bills?

No. Pulsify codes bills before they reach your accounting system. Past bills are changed in your accounting system.
