HOW-TO

How to control supplier bank detail changes in S/4HANA

Short answer

Do not change supplier bank details in S/4HANA from an email. Phone the supplier on a number you already hold, get a second approval, then update the supplier record.

A bank detail change is when a supplier asks you to pay a new BSB or account. It is a common fraud route.

Before you start

  • Dual control set up for sensitive fields
  • A second authorised user to confirm

The S/4HANA way

Where to find it: Supplier master: dual control for sensitive fields; Confirmation of Change

  1. When someone changes a sensitive field (for example bank details) the supplier account stays blocked for the payment run.
  2. A second authorised person confirms the change under Confirmation of change in the supplier master menu.
  3. Check Master records > Maintain centrally > Display changes to see who changed what.

Limits in S/4HANA

  • This is in the classic supplier/vendor master documentation. Check it applies to your edition.
  • Approval of every master data change needs Master Data Governance, which is separate.
  • The Bank Account Management dual control in the help is for your own company bank accounts, not supplier bank details.

The Pulsify way

  1. Forward the supplier's invoice to Pulsify.
  2. Pulsify compares the BSB and account number on the invoice with the supplier record in S/4HANA.
  3. If either differs, Pulsify flags it with the system value.
  4. Verify with the supplier by phone before you approve.

What Pulsify does not do here

  • Pulsify flags a mismatch. It does not decide whether the new details are real.
  • It cannot verify details a supplier has never had in S/4HANA.

Common mistakes

  • Assuming dual control is on without checking it is set up for the sensitive fields.
  • Mixing up Bank Account Management dual control, which is for your own bank accounts, with supplier bank details.

Common questions

Does SAP hold a changed bank detail until someone confirms?

With dual control set up for sensitive fields, the supplier account stays blocked for the payment run. A second authorised person confirms the change under Confirmation of change in the supplier master menu.

How do I see who changed it?

Go to Master records > Maintain centrally > Display changes.

Is this approval of every master data change?

No. Approval of every master data change needs Master Data Governance, which is separate. The Bank Account Management dual control is for your own company bank accounts, not supplier bank details.

What does Pulsify check?

It compares the BSB and account number on the invoice with the supplier details in your accounting system.
