HOW-TO

How to enter a purchase invoice with line items in Sage 200

Short answer

In Sage 200, open a new purchase invoice, pick the supplier, add one line per invoice row with a nominal code and VAT rate, then check the total matches the invoice.

Entering a supplier bill with line items means recording each row of the invoice (item, quantity, price, account and VAT) instead of one lump sum.

The Sage 200 way

Where to find it: Suppliers > Suppliers List > Invoice (or Rapid Invoice or Batched Transactions)

  1. Choose how to enter: Rapid Invoice (several suppliers on one screen), Invoice (one at a time, posts straight away) or Batched Transactions (checked against a batch total).
  2. Select the supplier account. Discount percent, Nominal Code and VAT Rate default from the account and can be overridden.
  3. Enter the goods value, VAT value and the nominal analysis.
  4. Post. If the invoice would take the balance over the supplier credit limit a warning shows.

Limits in Sage 200

  • Posted transactions cannot be deleted. A correction creates a reverse transaction plus a new one.
  • Invoices tied to orders go through Purchase Order Processing instead.

Words Sage 200 uses

  • Nominal code. The general ledger account number.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every printed row as its own line.
  2. Pulsify finds the supplier in Sage 200 and suggests an account for each line from how that supplier was coded before.
  3. Review the lines in Pulsify. Fix any account or VAT rate and approve.
  4. On approval, Pulsify creates the purchase invoice in Sage 200 with the original file attached.

What Pulsify does not do here

  • Pulsify aims for 99% accuracy, but you still review each bill before approval.

Common mistakes

  • Using Invoice for an invoice tied to an order, when it should go through Purchase Order Processing.
  • Posting a wrong invoice and looking for a delete button, when a correction needs a reverse transaction.

Common questions

Which entry screen should I use?

Rapid Invoice handles several suppliers on one screen. Invoice does one at a time and posts straight away. Batched Transactions checks entries against a batch total.

What VAT do I enter on a purchase invoice?

Enter the goods value and the VAT value. The VAT Rate defaults from the supplier account and you can override it on the invoice.

What if the invoice takes the supplier over their credit limit?

A warning shows when you post. Posted transactions cannot be deleted, so a wrong invoice needs a reverse transaction plus a new one.
