A default account is the expense account a supplier's bills are coded to unless someone changes it. It saves time on repeat suppliers. What is chart of accounts?
Before you start
- Sage X3 Financials and Purchasing
- Function and site rights for the screen
The Sage X3 way
Where to find it: Common data > BPs > Suppliers > Accounting section
- Open Common data > BPs > Suppliers and select the supplier.
- In the accounting section set the Accounting code, Tax rule, payment terms and Payment bank.
- Add the default Analytical dimensions for each dimension type.
- New documents for that supplier suggest these defaults.
Limits in Sage X3
- The defaults are an accounting code (control account), tax rule, terms, bank and dimensions. A default expense account per supplier was not found.
Words Sage X3 uses
- Analytical dimension. A tag on a posting line, such as cost centre or project. X3 supports several dimension types at once.
The Pulsify way
- Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the supplier in Sage X3.
- Pulsify suggests an account for each line from how that supplier was coded on past bills in Sage X3.
- Correct a suggestion when it is wrong. Later bills for that supplier follow the pattern.
- Approve. The purchase invoice is created in Sage X3.
Pulsify connects to Sage X3. We set up the connection for you.
What Pulsify does not do here
- There is no setting in Pulsify to fix a default account for a supplier. It learns from past bills.
- A default set on the supplier in Sage X3 stays in Sage X3.
Common mistakes
- Treating the Accounting code as an expense account, when it is the control account.
- Leaving out the default Analytical dimensions for each dimension type.

Common questions
Can I set a default expense account for a supplier?
A default expense account per supplier was not found. The supplier record holds an Accounting code (control account), Tax rule, payment terms, Payment bank and default Analytical dimensions.
Where do I set the defaults?
In Common data > BPs > Suppliers, in the accounting section of the supplier.
Do the defaults fill in new documents?
Yes. New documents for that supplier suggest these defaults.
Does Pulsify let me set a default account?
Not as a setting. Pulsify learns each supplier's coding from past bills in your accounting system and suggests an account for every line.
