How to code one purchase invoice to several account codes in Sage X3

Short answer

In Sage X3, add a line for each type of cost on the purchase invoice. Set a different account and tax rule and tax rate on each line, then check the total matches the invoice.

The Sage X3 way

Where to find it: Financials > Invoices > Purchase invoices

  1. On the Lines tab add one line per product or service.
  2. For direct invoices use the Miscellaneous source and set the account via the line product or accounting code.
  3. Enter the supplier's invoice lines total and tax total in the Amount and status area of the Management tab. X3 compares them with its own totals in the final check.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the supplier in Sage X3.
  2. Pulsify suggests an account for each line from past bills for that supplier. Each line gets its own account and tax rule and tax rate.
  3. Check the suggestions in Pulsify, change any that are wrong and approve.
  4. The purchase invoice is created in Sage X3 with the right account on every line.

What Pulsify does not do here

  • Pulsify can only pick from the accounts that exist in Sage X3.

Common mistakes

  • Choosing a source other than Miscellaneous on a direct invoice line.
  • Skipping the supplier totals on the Management tab, so X3 has nothing to compare the lines with.

Common questions

How do I code a direct invoice to several accounts?

Add one line per product or service. For direct invoices use the Miscellaneous source and set the account through the line product or accounting code.

Where does the account on each line come from?

The accounting code and journal setup decide the account on each line.

How do I check the lines add up?

Enter the supplier's ex-tax lines total and tax total on the Management tab. X3 compares them with the totals it calculates from your lines in the final check.

Does Pulsify learn how I code?

Yes. Pulsify suggests an account for each line from how that supplier was coded on past bills. You can change any suggestion.
