HOW-TO

How to split a vendor invoice across distribution codes in Sage 300

Short answer

In Sage 300, add one line per project or GL segment or optional field on the A/P invoice, tag each line with distribution codes and optional fields and check the lines add up to the invoice total.

Splitting a bill across jobs or cost centres means giving each line of one supplier invoice its own job, department or project so costs land where they belong. In Sage 300 you do it with distribution codes and optional fields.

Before you start

  • Sage 300 Accounts Payable
  • Security authorisation for the screen
  • Distribution codes or sets set up (optional)

The Sage 300 way

Where to find it: Accounts Payable > A/P Invoice Entry > Details; A/P Setup > Distribution Codes and Distribution Sets

  1. Create a distribution set (A/P Setup > Distribution Sets) with a percentage for each distribution code. A percentage can be negative or over 100.
  2. On the invoice detail line choose the distribution set, or one distribution code or GL account per detail line.
  3. Use optional fields on the detail line for extra analysis.
  4. For jobs, a project-related invoice needs Project and Job Costing: each detail carries contract, project and category.

Limits in Sage 300

  • A project-related invoice cannot mix job-related and non-job-related details.
  • Percentage splits use distribution sets.

Good to know in Sage 300

  • Distribution codes can split by percent.

Words Sage 300 uses

  • Distribution code. A saved set of GL accounts and split amounts or percents you apply to invoice lines.
  • Optional field. A custom field you add to vendors, invoices or lines for extra tracking.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address. Pulsify reads every row as its own line.
  2. Review each line and set its account. Line-item coding learns from how that vendor was coded before.
  3. Approve. The A/P invoice is created in Sage 300 with one line per row.

What Pulsify does not do here

  • Pulsify does not split a line by percentage. A shared cost needs separate lines with set amounts.
  • Tagging a line to distribution codes and optional fields is done in Sage 300 unless the line already carries it.

Example in Sage 300

Example Timber Supplies sends one vendor invoice for $4,000 of framing timber before tax, shared 60/40 between two sites. A distribution set called EXAMPLE-SITES holds a distribution code for each site. Tax is distributed on the Taxes tab.

LineAmountTagged to
Framing timber, Site A share (60%)$2,400.00Distribution set EXAMPLE-SITES: Site A code
Framing timber, Site B share (40%)$1,600.00Distribution set EXAMPLE-SITES: Site B code
GST at 10%$400.00Distributed on the Taxes tab

Detail lines of $4,000.00 plus $400.00 tax equal the $4,400.00 invoice total. Undistributed Amount shows zero before you click Add.

Common mistakes

  • Using a distribution set without checking its percentages, which can be negative or over 100.
  • Mixing job-related and non-job-related details on a project invoice.

Common questions

Can Sage 300 split an invoice by percentage?

Yes. Create a distribution set in A/P Setup > Distribution Sets with a percentage for each distribution code. A percentage can be negative or over 100. Then choose the set on the invoice detail line.

Can one invoice mix job and non-job lines?

No. A project-related invoice cannot mix job-related and non-job-related details. Each job detail carries a contract, project and category, so enter the non-job cost on a separate invoice.

Can I add extra analysis to a split line?

Yes. Use the optional fields on the detail line for extra analysis. For jobs, the detail carries the contract, project and category instead.
