HOW-TO

How to code one A/P invoice to several GL account codes in Sage 300

Short answer

In Sage 300, add a line for each type of cost on the A/P invoice. Set a different GL account and tax class and tax authority on each line, then check the total matches the invoice.

Coding one bill to several accounts means each line of a supplier invoice goes to the expense or asset account that matches what was bought. What is chart of accounts?

Before you start

  • Sage 300 Accounts Payable
  • Security authorisation for the screen

The Sage 300 way

Where to find it: Accounts Payable > A/P Invoice Entry > Details

  1. On the Details tab add one detail line for each account or distribution code.
  2. Enter the amount for each line.
  3. Check Undistributed Amount shows zero before you click Add.

Limits in Sage 300

  • Tax is distributed separately on the Taxes tab.

Good to know in Sage 300

  • Distribution codes save a repeatable multi-account split.

Words Sage 300 uses

  • Distribution code. A saved set of GL accounts and split amounts or percents you apply to invoice lines.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the vendor in Sage 300.
  2. Pulsify suggests an account for each line from past bills for that vendor. Each line gets its own account and tax class and tax authority.
  3. Check the suggestions in Pulsify, change any that are wrong and approve.
  4. The A/P invoice is created in Sage 300 with the right account on every line.

What Pulsify does not do here

  • Pulsify can only pick from the accounts that exist in Sage 300.

Example in Sage 300

Example Hardware Supplies sends one vendor invoice for $1,200 before tax. It covers $900 of materials and $300 of freight. A detail line carries each GL account.

LineAmountTagged to
Materials$900.00GL account: Materials purchases
Freight$300.00GL account: Freight inwards

Detail lines total $1,200.00 before tax. Undistributed Amount shows zero, so you can click Add. Tax is then distributed on the Taxes tab.

Common mistakes

  • Retyping the same multi-account split on every invoice instead of setting up a distribution code.
  • Forgetting that tax is distributed separately on the Taxes tab.

Common questions

How do I save a split I use often?

Set up a distribution code. Distribution codes save a repeatable multi-account split, so you can pick one on a detail line instead of typing the accounts each time.

How do I know the lines add up?

Check that Undistributed Amount shows zero before you click Add.

Is tax part of the account split?

No. Tax is distributed separately on the Taxes tab. If tax is calculated and not included, the detail lines should hold amounts before tax.

Does Pulsify learn how I code?

Yes. Pulsify suggests an account for each line from how that supplier was coded on past bills. You can change any suggestion.
