HOW-TO

How to set a default GL account for each vendor in Sage 300

Short answer

In Sage 300, open the vendor record and set a default GL account and tax class and tax authority. New A/P invoice lines will start with those and you can change any line.

A default account is the expense account a supplier's bills are coded to unless someone changes it. It saves time on repeat suppliers. What is chart of accounts?

The Sage 300 way

Where to find it: Accounts Payable > A/P Vendors; A/P Vendor Groups

  1. Open Accounts Payable > A/P Vendors and set the vendor.
  2. Set the vendor group defaults: distribution method (distribution set, distribution code or GL account), default code, tax group and terms.
  3. New invoices for the vendor use these defaults.

Limits in Sage 300

  • The default is a distribution code, set or GL account at vendor group level, plus tax group. Per-vendor overrides are also available.

Words Sage 300 uses

  • Distribution code. A saved set of GL accounts and split amounts or percents you apply to invoice lines.

The Pulsify way

  1. Forward the supplier's invoice to your Pulsify address or upload it. Pulsify reads every line and finds the vendor in Sage 300.
  2. Pulsify suggests an account for each line from how that vendor was coded on past bills in Sage 300.
  3. Correct a suggestion when it is wrong. Later bills for that vendor follow the pattern.
  4. Approve. The A/P invoice is created in Sage 300.

What Pulsify does not do here

  • There is no setting in Pulsify to fix a default account for a vendor. It learns from past bills.
  • A default set on the vendor in Sage 300 stays in Sage 300.

Common mistakes

  • Forgetting a per-vendor override that differs from the vendor group default.
  • Leaving a vendor group on the wrong distribution method, so every invoice starts with the wrong default.

Common questions

Where does the default come from?

From the vendor group. Set the distribution method (distribution set, distribution code or GL account), the default code, the tax group and the terms. New invoices for the vendor use them. Per-vendor overrides are also available.

Does changing a default fix old invoices?

No. New invoices for the vendor use the defaults. Posted invoices are corrected with adjustment entries in A/P Adjustment Entry.

Can the default be a split?

Yes. The distribution method can be a distribution set, so a vendor can default to a percentage split across several codes.

Does Pulsify let me set a default account?

Not as a setting. Pulsify learns each supplier's coding from past bills in your accounting system and suggests an account for every line.
