Invoice approvals in Sage X3 for manufacturers

Short answer

Sage X3 covers part of invoice approvals on its own. Month end piles up because most invoices land in the last week. If approvals run through one person, the books close late.

Why it matters for manufacturers

  • Different spend needs different approvers. A maintenance bill goes to the plant manager and a raw material bill goes to purchasing.
  • Auditors want to see who approved what and when, with limits that match the role.

For manufacturers in Sage X3

  • Supplier invoices carry a Pay approval level in the invoice header. It starts from the user's payment approval level and can be changed only to a value assigned at a lower level, once the invoice lines exist.
  • The Match status on a purchase invoice shows Blocked, Warning or Successful. A user with unblock access can override a blocked line, which then shows Unblocked.

What Sage X3 does on its own

Sage X3 has signature management for purchase orders and open orders, with a Signed status of No, Partially or Totally. Supplier invoices use a payment approval level in the Pay approval field instead of a signature circuit. Signers act from the workflow message or the signature list.

  • Signature circuits documented for orders, not invoices.

Invoice Validation under Purchasing > Invoices is a mass accounting validation of saved invoices. It is not an approval.

Example

Example Hydraulics Pty Ltd sends a repair bill of $6,400 ex GST for a press on the Plant 2 line. The plant manager's limit is $5,000.

LineAmountWhat the check finds
Press seal kit and labour$4,700.00Under the $5,000 limit on its own
Call out and travel$1,700.00Brings the bill to $6,400, past the $5,000 limit
GST$640.0010% of $6,400

The bill is routed to the operations manager because it is over the plant manager's limit. The approval record shows who signed, when and under which limit.

Common mistakes

  • One approver for every bill, so approvals pile up in the last week of the month.
  • Limits that never change, so every raw material order goes to the director.

Common questions

Does Sage X3 approve a supplier invoice before payment?

Supplier invoices carry a Pay approval level in the invoice header. The Match status can block a line until a user with unblock access overrides it. The help describes signature circuits for orders, not for invoices.

How should a manufacturer set approval limits?

Set limits by cost centre and by dollar value. A plant manager approves repairs up to a limit, purchasing approves materials and the finance lead approves above that. Name a backup for each.

How does order signature work in Sage X3?

With APPPOH on, an order shows Signed No until signers sign and Partially when some have. Only a Totally signed order can be printed and received.
