Supplier price checks in Sage X3 for manufacturers

Short answer

Sage X3 covers part of supplier price checks on its own. Raw material prices move with metal, resin and energy markets, so the purchase order price is often out of date when the invoice lands.

Why it matters for manufacturers

  • A cost per unit that is wrong by a few cents changes margin on every product that uses the material.
  • Surcharges for steel, fuel and currency are added late and may not be in the supplier agreement.

For manufacturers in Sage X3

  • Set the matching tolerance on the product and supplier pair for key components. Over and under tests on unit price and line total take a percentage or an amount and each is Warning or Blocking.
  • Price Entry records have a validity date range and a quantity or amount range. Use them for components priced by volume.
  • For back to back orders, the PURCTLPRI0 parameter can block an order with no price. A product with a standard cost is not blocked when PURPRICE (Price by default standard cost) is Yes.
  • The PIHCPR parameter decides whether landed costs from the receipt are applied when the invoice price differs.

What Sage X3 does on its own

Agreed prices are held on purchase price lists or on the order line. At invoice entry the price tolerance on the matching tolerance code flags lines outside the limit as Warning or Blocking. The comparison is with the order or receipt, not a separate agreed price file.

  • The comparison is with the order or receipt, not a separate agreed price file.

Tolerances can be a percentage or an amount.

Example

Example Resin Supplies sends an invoice for 4,000 kg of polypropylene. The purchase order price is $2.10 a kg. The invoice charges $2.28 a kg.

LineAmountWhat the check finds
Polypropylene, 4,000 kg at $2.28$9,120.00Order price was $2.10, so the line is $720 over
Fuel surcharge$85.00Not on the order
Pallet fee$40.00Not on the order

The check flags the price rise of $0.18 a kg and both surcharges. Purchasing confirms the new rate or disputes it before the bill goes to approval.

Common mistakes

  • Letting the purchase order price be edited to match the invoice, which erases the evidence of a price rise.
  • Accepting surcharges because the amount is small, then finding they add up over a year.

Common questions

Can Sage X3 use standard cost when a component has no price list?

For back to back purchase orders, yes. The order is blocked only if there is no price list, no base price and no standard cost. It is also blocked if PURPRICE is No. Ordinary invoice price tests use the matching tolerance.

How do manufacturers handle material price rises?

Compare invoice price to the purchase order price on every line. If the supplier agreed a rise, update the standard cost and the price list. If not, dispute the invoice before approval.

Where do I set the price tolerance?

In Setup > Purchasing > Matching tolerance. Create a code, set the tolerances on the Invoices tab and assign the code to a supplier, product or both.
