HOW-TO

How to check purchase invoice lines against agreed supplier prices in Sage X3

Short answer

Keep the agreed price list for each supplier outside Sage X3. Compare each purchase invoice unit price to the list and query any difference. Update the list when prices change.

Checking against agreed prices means comparing the unit price on each invoice line to the price list or quote you agreed with the supplier.

Before you start

  • Sage X3 Financials and Purchasing
  • Function and site rights for the screen

The Sage X3 way

Where to find it: Purchasing > Price lists; Setup > Purchasing > Matching tolerance

  1. Keep agreed prices on purchase price lists or on the order line.
  2. Set the price tolerance on the Invoices tab of a matching tolerance code.
  3. At invoice entry X3 flags lines outside the tolerance as Warning or Blocking.

Limits in Sage X3

  • The comparison is with the order or receipt, not a separate agreed price file.

Words Sage X3 uses

  • Matching tolerance. Limits on over or under receiving and invoicing. Breaching them warns or blocks.

The Pulsify way

  1. Upload a CSV price list for the supplier in Pulsify. Map the item code, description and unit price columns.
  2. Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
  3. A higher or lower unit price is flagged. A line not on the list is marked.
  4. Approve or query the supplier.

Pulsify connects to Sage X3. We set up the connection for you.

What Pulsify does not do here

  • Pulsify checks unit price only, not quantity.
  • One unit price per item. No price history.
  • A mismatch is a warning and does not block approval.

Common mistakes

  • Expecting a flag when the price list differs from the order price.
  • Putting the tolerance on the Receipts tab instead of the Invoices tab.
