How to match a purchase invoice to a purchase order in Sage X3

Short answer

In Sage X3, open the purchase order, compare each purchase invoice line to the purchase order line on quantity and unit price and query any difference before you approve.

Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?

Before you start

  • Purchasing module
  • Matching tolerance codes set up (Setup > Purchasing > Matching tolerance)

The Sage X3 way

Where to find it: Purchasing > Invoices > Invoices (three-way match status)

  1. Receive goods against the order with a receipt.
  2. Create the invoice and preload the order or receipt lines from the selection panel.
  3. X3 reconciles the invoice with receipts and orders and shows a Match status: Unblocked, Blocked, Warning, Successful or Not applicable.
  4. Open the matching lines to see blocking or warning matches and fix or override with the right security.

Limits in Sage X3

  • Tolerance codes come from Setup > Purchasing > Matching tolerance.
  • Blocking on invoices can be overridden by users with security rights; blocking on receipts cannot.

Good to know in Sage X3

  • Tolerance codes attach to supplier, product or both.

The Pulsify way

  1. Sync your open POs from Sage X3 to Pulsify.
  2. Forward the supplier's invoice. Pulsify links it to the right purchase order.
  3. Pulsify matches each line on quantity and unit price, to within 1 cent.
  4. Review flags for price differences, extra quantity and lines not on the PO.
  5. Approve. The purchase invoice is created in Sage X3 against the purchase order.

What Pulsify does not do here

  • Pulsify has no tolerance setting. It compares to the cent.
  • Flags are warnings. Your approver decides.

Common mistakes

  • Matching an invoice before the goods are received against the order.
  • Having no tolerance code on the supplier or product, so nothing is tested.
