A partial delivery is when a supplier delivers and bills only part of a purchase order, so the PO stays open with a balance.
Before you start
- Purchasing module
The Sage X3 way
Where to find it: Purchasing > Receipts; Purchasing > Invoices > Invoices
- Create a receipt for the quantity received. Receipts can be created from orders.
- Whether the order line closes depends on the POHCLE parameter (PO line closing method) and the closing indicator on the receipt line.
- Invoice the quantity received by preloading the receipt lines.
- The open order balance stays available for later receipts.
Limits in Sage X3
- A receipt line that is partially invoiced can no longer have its quantity changed.
Good to know in Sage X3
- Receipt tolerances cover short and excess quantity and early or late delivery.
The Pulsify way
- Sync your open POs from Sage X3 to Pulsify.
- Forward each purchase invoice. Pulsify links it to the purchase order and matches lines on quantity and unit price.
- Pulsify shows how much of the purchase order is claimed, what this purchase invoice adds and what is left.
- Pulsify flags a line that bills more than what is left on the purchase order.
- Approve. The purchase invoice is created in Sage X3 against the purchase order.
Pulsify connects to Sage X3. We set up the connection for you.
What Pulsify does not do here
- Pulsify matches to within 1 cent and has no tolerance setting.
- A lower quantity than the purchase order line is not flagged, because partial delivery is normal.
Common mistakes
- Ticking the closing indicator on a partial receipt, closing the order line early.
- Changing the receipt quantity after part of it is invoiced.
