HOW-TO

How to handle a partial delivery against a purchase order in Kinetic

Short answer

In Kinetic, keep the purchase order open, check each AP invoice against what has been billed so far and close the purchase order only when the last delivery is invoiced.

Last checked

A partial delivery is when a supplier delivers and bills only part of a purchase order, so the PO stays open with a balance.

Before you start

  • Allow Multiple Invoicing of Receipts ticked in Company Configuration > Modules > Finance > Accounts Payable

The Kinetic way

Where to find it: AP Partial Invoicing AP Invoice Entry

  1. Select only the receipt quantities on this invoice
  2. AP Partial Invoicing and the AP Received Not Invoiced Report track the rest
  3. In AP Invoice Entry untick Final Invoice on the Selected Receipt lines grid and set the Invoice Qty to what this bill covers. Tick Final Invoice on the last bill.
  4. Use Get > Get Not Invoiced Receipts to pull in receipts that meet the tolerance set in Company Configuration, creating Manual GRNI Clearing documents.
  5. Review what is left on the AP Received Not Invoiced report under Financial Management > Accounts Payable > Reports. Partly invoiced lines show Received Qty, Invoice, Legal Number and Matched Qty.

Limits in Kinetic

  • This is not available for drop shipments.
  • A standard invoice cannot be in the same group as a GRNI clearing invoice.

Good to know in Kinetic

  • Set legal numbers for the GRNI clearing type in Legal Number Maintenance and Transaction Document Type so you can reconcile AP clearing accounts.
  • AP Invoice Tracker shows a GRNI Clearing indicator and the Final Invoice box. AP Posted Invoice Update shows the final status.
  • The figures come from Epicor ERP 10.1.500 notes, so check your Kinetic version.

Words Kinetic uses

  • AP Invoice Entry. The screen where you enter and group supplier invoices before posting.

The Pulsify way

  1. Sync your open POs from Kinetic to Pulsify.
  2. Forward each AP invoice. Pulsify links it to the purchase order and matches lines on quantity and unit price.
  3. Pulsify shows how much of the purchase order is claimed, what this AP invoice adds and what is left.
  4. Pulsify flags a line that bills more than what is left on the purchase order.
  5. Approve. The AP invoice is created in Kinetic against the purchase order.

What Pulsify does not do here

  • Pulsify matches to within 1 cent and has no tolerance setting.
  • A lower quantity than the purchase order line is not flagged, because partial delivery is normal.

Example in Kinetic

Example Plumbing Supplies delivers 200 bags of cement at $14.00 in one receipt line, and bills in three parts.

LineAmountTagged to
INV-501 Invoice Qty 80, Final Invoice unticked$1,120.00120 bags still on Received Not Invoiced
INV-538 Invoice Qty 70, Final Invoice unticked$980.0050 bags still open
INV-577 Invoice Qty 50, Final Invoice ticked$700.00Receipt line cleared

The AP Received Not Invoiced report shows the open quantity after each bill and nothing after the last.

Common mistakes

  • Selecting all receipt lines on an invoice that covers only part of the delivery.
  • Not running the AP Received Not Invoiced Report to see what is still open.
