Raising a purchase order means writing down what you are buying, from whom and at what price and getting sign-off before you order. What is purchase order?
The Kinetic way
Where to find it: Purchase Order Entry; Buyer Workbench; PO Approval
- Create the PO in Purchase Order Entry
- Approve in Buyer Workbench > POs > Approvals or in PO Approval
- Approval compares the net PO total, less any tax already calculated, with the buyer's approval limit. A $110.00 PO with $10.00 tax is tested as $100.00.
- Approve from Purchase Order Entry > Summary, Buyer Workbench > POs > Approvals or PO Approval > Detail.
Limits in Kinetic
- The Epicor help describes one approval limit per buyer, not a multi-step approval chain.
Good to know in Kinetic
- PO tax can be calculated when approving
- The option to calculate inclusive and exclusive tax on approval covers POs from Change PO Suggestions, New PO Suggestions, the Buyer Workbench RFQ Decision Wizard, Supplier Responses and Capable to Promise.
- The PO Line Taxable box sets the default Taxable value on header charges, detail lines, line charges and releases. Epicor stops at the first rule in its hierarchy that applies.
- Tax liability, tax category and tax exempt settings are chosen when you create the PO.
- The detail comes from Epicor ERP 10.1.500 notes. Kinetic screens may differ.
The Pulsify way
- Raise and approve the purchase order in Kinetic as usual.
- When the invoice arrives, Pulsify links it to the purchase order and matches the lines.
- Differences in quantity or price are flagged for review before approval.
Pulsify connects to Kinetic. We set up the connection for you.
What Pulsify does not do here
- Raising and creating POs in Pulsify works with Xero only today. For Kinetic, Pulsify matches bills to the POs you raise there.
Example in Kinetic
Example Plumbing Supplies quotes a job. The buyer approval limit is $1,500.00.
| Line | Amount | Tagged to |
|---|---|---|
| PO total including $140.00 tax | $1,540.00 | Tested as $1,400.00 ex tax, within limit |
| PO total including $160.00 tax | $1,760.00 | Tested as $1,600.00 ex tax, over limit |
The buyer can approve the first PO even though its total is above $1,500.00, because tax is left out. The second needs someone with a higher limit.
Common mistakes
- Raising a PO and never approving it.
- Looking for approval in only one place. It can be done in Buyer Workbench or in PO Approval.
