Line item coding in MYOB Acumatica for builders

Short answer

MYOB Acumatica has line item coding built in. A builder's job cost report is only right if every bill reaches the correct project and subaccount. One wrong job code moves cost from one project to another and hides a loss.

Why it matters for builders

  • One supplier invoice often covers several jobs. A hardware or hire statement may carry 15 lines for 6 different projects.
  • Subcontractor claims mix labour, materials, variations and retention. Each part needs its own code and GST treatment.

For builders in MYOB Acumatica

  • On a payment claim, code the rows on the Document Details tab. The Payment Schedule rows come from them, and a Scheduled Amount writes back to Ext. Cost, so your coding follows what you decide to pay.
  • Set retainage on the vendor: Apply Retainage and Retainage Percent on the Financial tab, and the retainage account on the GL Accounts tab. Tick Retain Taxes in AP Preferences if GST on retained amounts should be reported separately.
  • Remember the limit on corrections. When a bill line is tied to a purchase order or subcontract, only the PO Line and Subcontract Line columns can be edited during reclassification.

What MYOB Acumatica does on its own

Each line has item, account, subaccount, branch and project fields.

Add one line per job or cost centre to split a cost.

Example

Example Hire Co sends one invoice for plant hire used on two jobs.

LineAmountWhat the check finds
Excavator 5 tonne, job 214, 4 days$2,000.00Coded to job 214, cost code 3100 plant hire
Scissor lift, job 188, 2 days$900.00Coded to job 188, cost code 3100 plant hire
Fuel and cleaning fee, job 214$180.00Coded to job 214, cost code 3190 sundries

Each line is coded to its own job and cost code, so job 214 shows $2,180 of cost and job 188 shows $900 before GST.

Common mistakes

  • Coding a whole invoice to one job to save time, then correcting it at month end.
  • Using different cost codes for the same type of cost on different jobs, so job reports cannot be compared.

Common questions

Can I code a subcontractor claim to job and cost code in MYOB Acumatica?

Yes. Add one row per item on the Document Details tab with the Project, Project Task and Cost Code, or import the rows from the subcontract. The Project columns show only when the Projects feature is on and linked to accounts payable.

Should retention be coded separately?

Yes. Keep retention held on its own line or account so you can see how much you owe each subcontractor and release it at practical completion. Mixing it into the cost line hides the balance.

How do I fix the account on a posted MYOB Acumatica bill?

Open Reclassify Transactions (GL506000), load the batches and set To Account, To Subaccount or To Branch. Click Replace to change many rows at once, then Process.
