A duplicate invoice check stops the same supplier bill being entered and paid twice.
What Sage Intacct does on its own
Accounts Payable can warn about or block a repeated bill number for the same vendor, through a setting in Configure Accounts Payable. With the AP Automation add-on, incoming drafts that match an earlier bill are flagged Duplicate.
- The Duplicate flag on drafts needs the AP Automation subscription. The Configure Accounts Payable setting does not.
What you need in Sage Intacct
- Accounts Payable configuration access
- AP Automation for the Duplicate flag on drafts
Setting it up in Sage Intacct
Where to find it: Accounts Payable > Setup > Configuration > If bills, checks or adjustments are assigned duplicate numbers
- In Configure Accounts Payable find the duplicate numbers setting.
- Choose Show warning, Do not allow transactions to be created or Do nothing.
- With Do not allow, a bill with the same number for the same vendor cannot be submitted or posted.
- With AP Automation, review drafts flagged Duplicate and view the original bill.
- Enter the supplier's invoice number in Bill number every time.
Good to know in Sage Intacct
- The check is per vendor only. The same number from two vendors is not caught.
- It does not look at amount or date.
- AP Automation only compares against bills previously submitted through AP Automation.

How to stop paying a bill twice in Sage Intacct
Before you enter a bill in Sage Intacct, search the vendor's bills for the same number or amount. Use one reference format and check the pay bills for repeats.
How to reconcile a vendor statement to your bill records in Sage Intacct
Sage Intacct does not import supplier statements. Vendor reconciliation matches your own bills to payments and credits, only for transactions created after setup. Compare its report with the statement.
What Pulsify adds
- Pulsify checks every invoice against earlier ones on invoice number plus supplier, tax ID or date.
- Bills keyed straight into Sage Intacct count too.
- A file identical to one already uploaded is held. A person can process it anyway.
- A suspected duplicate asks the approver to confirm with Approve anyway.
Pulsify connects to Sage Intacct. We set up the connection for you. More about duplicate invoice checks in Pulsify.
What Pulsify does not do
- Pulsify never matches duplicates on amount alone.
- A duplicate flag is a warning. The approver decides.

Common questions
Can Sage Intacct stop a duplicate bill number?
Yes. Set the duplicate numbers option in Configure Accounts Payable to Do not allow transactions to be created. A bill with the same number for the same vendor then cannot be submitted or posted.
Does it catch the same invoice keyed with a different number?
No. The check compares the bill number per vendor only, not amount or date. AP Automation adds a Duplicate flag on drafts, but only against bills it has seen before.
Why do duplicates happen?
The same invoice arrives by email and post, a supplier resends it as a reminder, or two people enter it. A statement can also be keyed as a bill.
