SAGE INTACCT

Multi-entity accounts payable for Sage Intacct

Short answer

Sage Intacct has multi-entity accounts payable built in. Pulsify gives each company its own address, suppliers and approval rules, with one login across all of them.

Last checked

Multi-entity accounts payable means running supplier bills for several companies, each with its own books, from one team.

What Sage Intacct does on its own

Sage Intacct multi-entity companies have a top level and one or more entities. Entities are used for a separate tax identification or a separately secured, fully balancing set of books. Vendors, the chart of accounts and users are normally shared from the top level.

  • Inter-entity set-up needed.

What you need in Sage Intacct

  • A multi-entity company with a top level and entities
  • Admin access to Company > Admin > Subscriptions > Multi-Entity Management to restrict vendors by entity
  • Global Consolidation or Advanced Ownership Consolidation subscription for consolidated reporting

Setting it up in Sage Intacct

Where to find it: Company > Admin > Subscriptions > Multi-Entity Management > Configure

  1. Set up vendors at the top level so all entities can use them.
  2. To restrict a vendor to one entity, create it at the entity level.
  3. Create bills at the entity level and pay them at the entity level, or use pay by entity from the top level.
  4. Configure AP approvals at the top level. Approvers can act from the top level or the entity.
  5. Print checks at the entity level so the entity address appears on the check stock.

Good to know in Sage Intacct

  • Shared vendors can be edited only at the top level. Entity users see them as not owned by the entity.
  • A bill created at the entity level cannot be paid with an entity-private bank account from a different entity.
  • You cannot approve entity-level bills at the top level. If a bill is shared between entities, approving from an entity approves only that entity's part.

Common questions

Should vendors be set up at the top level or per entity?

The Sage help gives best practice as the top level, so all entities can use the vendor. A vendor made at entity level is visible only to that entity. Admins can also restrict a shared vendor by entity, location or department.

Where are AP approvals set up in a multi-entity company?

At the top level, where entities can see them. You cannot change an approval configuration at the entity level. Approvers can act from the top level or the entity, but entity-level bills cannot be approved at the top level.

Can one approver work across companies?

Yes. A person can have a role in each company. Their waiting count shows per company.
