SAGE INTACCT

PO matching for Sage Intacct

Short answer

Sage Intacct has PO matching built in. Pulsify matches each bill line to a purchase order line and flags extra quantity, a different price or lines not on the purchase order.

Last checked

PO matching means checking a supplier bill against the purchase order it belongs to before you pay it.

What Sage Intacct does on its own

Match tolerances compare quantity and unit price across PO, receipt and PO purchase invoice and flag exceptions.

  • Needs Purchasing.
  • Quantity and unit price only.

What you need in Sage Intacct

  • Purchasing application
  • Permission to configure Purchasing
  • Accounts Payable and General Ledger subscriptions

Setting it up in Sage Intacct

Where to find it: Purchasing > Setup > Configuration > Enable match tolerances

  1. Tick Enable match tolerances on the Configure Purchasing page.
  2. Choose the transaction definitions to validate, for example the PO receipt and the PO purchase invoice.
  3. Set Quantity tolerance percent and Price tolerance percent for each.
  4. Convert the purchase order to a receipt and then to a PO purchase invoice.
  5. Review flagged documents by filtering State by Exception under View transactions.

Good to know in Sage Intacct

  • At least one definition you validate must post to Accounts Payable.
  • A document on a validated definition cannot be created standalone and does not go through approval.
  • Overriding exceptions cannot be done through the API or a CSV update.

What Pulsify adds

  1. Your open purchase orders come into Pulsify from Sage Intacct.
  2. Pulsify links each invoice to its purchase order.
  3. It matches each invoice line to a PO line and flags lines that bill more than ordered, are priced differently or are not on the PO.
  4. A panel shows how much of the PO has been claimed, what this invoice adds and what is left. This handles part deliveries and progress claims.
  5. Approve. The bill is created in Sage Intacct against the purchase order.

  • There is no tolerance setting. Pulsify compares to the cent and the approver decides.

Common questions

Does Sage Intacct need the Purchasing application for 3-way match?

Yes. Match tolerances sit in Purchasing, so you need that subscription with Accounts Payable and General Ledger. Quantity and unit price are compared across the PO, receipt and PO purchase invoice.

What happens to a bill outside tolerance?

It is saved in the Exception state and is not posted until a user with permission corrects it or selects Override exception. With a 10% price tolerance, a bill 15% over the receipt is held.

Does Pulsify stop a bill with a price difference?

No. Pulsify flags the difference on the bill. The approver decides whether to approve, reject or send it back.
