How to match a bill to a purchase order in Sage Intacct

Short answer

In Sage Intacct, open the purchase order, compare each bill line to the purchase order line on quantity and unit price and query any difference before you approve.

Last checked

Matching a bill to a purchase order means checking the invoice lines against what was ordered (and sometimes received) before you pay. What is purchase order?

Before you start

  • Purchasing application
  • Permission to configure Purchasing

The Sage Intacct way

Where to find it: Purchasing application > Configure Purchasing

  1. Turn on match tolerances on the Configure Purchasing page and pick the transaction definitions to validate.
  2. Convert the purchase order to a receipt and then to a PO purchase invoice.
  3. Intacct compares quantity and unit price at each step.
  4. The invoice posts to Accounts Payable when it is inside tolerance.

Limits in Sage Intacct

  • Needs the Purchasing application.
  • Matching is quantity and unit price. Other fields are not compared.

Good to know in Sage Intacct

  • A price variance posts to the Match tolerance GL account or as set in the transaction definition.

The Pulsify way

  1. Sync your open POs from Sage Intacct to Pulsify.
  2. Forward the supplier's invoice. Pulsify links it to the right purchase order.
  3. Pulsify matches each line on quantity and unit price, to within 1 cent.
  4. Review flags for price differences, extra quantity and lines not on the PO.
  5. Approve. The bill is created in Sage Intacct against the purchase order.

What Pulsify does not do here

  • Pulsify has no tolerance setting. It compares to the cent.
  • Flags are warnings. Your approver decides.

Common mistakes

  • Entering the bill in Accounts Payable instead of converting from the receipt, so no matching happens.
  • Not choosing the transaction definitions to validate on the Configure Purchasing page.
