Job costing supplier bills means tagging each bill line to a job so you can see cost against budget for every job.
Before you start
- Projects enabled
- Customer:Project on the line
- Bill Costs To Customers feature for Billable
The NetSuite way
Where to find it: Transactions > Payables > Enter Bills > Expenses subtab (Customer column)
- Create the customer and project.
- On each bill line set the Customer:Project.
- Tick Billable if you pass the cost on to the customer.
- Open the project (Lists > Relationships > Projects > View): the Procurement subtab lists the purchase orders and vendor bills entered for it.
Limits in NetSuite
- Bill Costs To Customers must be on to tick Billable.
- Project vendor bill amounts exclude tax.
- Oracle says Job Costing and Project Budgeting availability: contact your account representative.
Words NetSuite uses
- Customer:Project. The project (job) a cost is charged to. It sits under a customer record.
The Pulsify way
- Forward the supplier's invoice to Pulsify. Pulsify reads every row as its own line.
- Review each line's account and set the job where it applies.
- Route bills to the person who knows the job, using approval rules.
- Approve. The vendor bill is created in NetSuite with each line.
Pulsify connects to NetSuite. We set up the connection for you.
What Pulsify does not do here
- Pulsify does not split lines by percentage.
- Job reports are run in NetSuite.
Example in NetSuite
Example Steel Supplies sends one vendor bill for $1,320.00 including GST. The amounts below are before GST.
| Line | Amount | Tagged to |
|---|---|---|
| Rebar for Stage 1 | $700.00 | Customer:Project: Example Client A : Stage 1 |
| Rebar for Stage 2 | $500.00 | Customer:Project: Example Client B : Stage 2 |
| GST 10% | $120.00 | Tax Code on each line |
Open each project and the Procurement subtab lists the bill. Project amounts exclude tax, so they show $700.00 and $500.00.
Common mistakes
- Ticking Billable without Bill Costs To Customers turned on.
- Reading project bill amounts as GST inclusive, when they exclude tax.
