Splitting a bill across jobs or cost centres means giving each line of one supplier invoice its own job, department or project so costs land where they belong. In Sage X3 you do it with analytical dimensions.
Before you start
- Sage X3 Financials and Purchasing
- Function and site rights for the screen
The Sage X3 way
Where to find it: Purchasing > Invoices > Invoices > Lines tab; analytical dimensions
- On the invoice Lines tab add a line for each part of the cost.
- Set the analytical dimensions on each line. Defaults come from the supplier record (Dimension type and Dimension grid) and the accounting set-up.
- Validate the invoice.
Limits in Sage X3
- Split is by lines and amounts. A percentage split tool was not found on the invoice pages.
- Only the dimension types set up for the supplier, account or transaction carry through.
Good to know in Sage X3
- Several dimension types can apply to one line.
Words Sage X3 uses
- Analytical dimension. A tag on a posting line, such as cost centre or project. X3 supports several dimension types at once.
The Pulsify way
- Forward the supplier's invoice to your Pulsify address. Pulsify reads every row as its own line.
- Review each line and set its account. Line-item coding learns from how that supplier was coded before.
- Approve. The purchase invoice is created in Sage X3 with one line per row.
Pulsify connects to Sage X3. We set up the connection for you.
What Pulsify does not do here
- Pulsify does not split a line by percentage. A shared cost needs separate lines with set amounts.
- Tagging a line to analytical dimensions is done in Sage X3 unless the line already carries it.
Common mistakes
- Expecting a dimension type to carry through when it is not set up for the supplier, account or transaction.
- Entering one line for the full cost and hoping to split it later.
