Invoice fraud checks in NetSuite for freight and logistics companies

Short answer

NetSuite covers part of invoice fraud checks on its own. Owner-drivers and subcontract carriers change bank details and sometimes lose or change their ABN. Scammers target them with change-of-bank emails.

Why it matters for freight and logistics companies

  • If a subcontractor does not quote an ABN on a business invoice, you generally must withhold tax at the top rate unless an exception applies.
  • Operators that pay contractors for road freight must lodge a TPAR when road freight is 10% or more of gross business income. Wrong details cause lodgement errors.

For freight and logistics companies in NetSuite

  • Tick Payment Hold on a disputed bill. The Make Payment button is removed and the bill stays off the Bill Payments page. The Electronic Payment SuiteApp does not process bills on hold.
  • The Payment Automation SuiteApp can hold a changed vendor until a second user approves it, but Oracle says it supports only USD with ACH and check payments. Most Australian freight firms cannot use it, so lean on Payment Hold and a call-back to the carrier.

What NetSuite does on its own

Role permissions and System Notes. The Payment Automation SuiteApp holds vendor bank detail changes for a second user to approve, but it supports USD only.

  • Bank change approval sits in the Payment Automation SuiteApp. Oracle says it supports only USD, with ACH and check payments, so most Australian businesses cannot use it. Use Payment Hold and a call-back to the supplier instead.

Oracle says Payment Automation supports only USD, so it does not suit Australian dollar payments.

Example

A bank change arrives for Example Owner Driver Pty Ltd. The next weekly run of $6,850 is due Friday.

LineAmountWhat the check finds
Weekly runs, 11 consignments$6,227.00Amount matches loads on file
GST$623.00Charged by a supplier whose ABN is active
New bank account from emailDifferent from the account on file

The run is held. Someone phones the contact number already on file to confirm the change. Payment goes ahead after the call.

Common mistakes

  • Changing bank details from an email reply with no call back.
  • Not recording ABNs for owner-drivers, so TPAR details are missing in August.

Common questions

How can a freight business protect against a fake change of bank details in NetSuite?

Payment Automation holds a changed vendor until a different user approves it, but Oracle says it supports only USD, so most Australian freight businesses cannot use it. Tick Payment Hold on the bill and phone the carrier on a known number before paying.

How can freight companies check a bank change?

Phone the number already on file, not the one in the email. Compare the new account name to the ABN holder. Pay the next run only after you have confirmed it.

Can I see who changed a vendor?

Yes. Open the record and go to System Information > System Notes. For many records use Transactions > Management > View Audit Trail and filter by user, date or type.
