Checking against agreed prices means comparing the unit price on each invoice line to the price list or quote you agreed with the supplier.
Before you start
- Purchasing subscription
- Match tolerances enabled in Configure Purchasing
The Sage Intacct way
Where to find it: Purchasing > Setup > Configuration > Enable match tolerances
- Tick Enable match tolerances and choose the transaction definitions to validate.
- Set the Quantity tolerance percent and Price tolerance percent for each.
- When you convert a PO or receipt to a vendor invoice Intacct compares unit prices.
- Lines over the tolerance make the document an Exception. A user with permission corrects it or selects Override exception.
Limits in Sage Intacct
- The check is against the source document (PO or receipt) price, not a price list.
- Documents on a definition with match tolerance cannot go through approval and cannot be created standalone.
- Overridden price variances post to the Match tolerance GL account.
The Pulsify way
- Upload a CSV price list for the vendor in Pulsify. Map the item code, description and unit price columns.
- Forward the supplier's invoice. Pulsify compares each line's unit price to the list.
- A higher or lower unit price is flagged. A line not on the list is marked.
- Approve or query the vendor.
Pulsify connects to Sage Intacct. We set up the connection for you.
What Pulsify does not do here
- Pulsify checks unit price only, not quantity.
- One unit price per item. No price history.
- A mismatch is a warning and does not block approval.
Common mistakes
- Expecting a price list check on bills that have no PO.
- Putting match tolerance on a definition users also create standalone, which is not allowed.
