NETSUITE

Invoice capture for NetSuite

Short answer

NetSuite has no built-in invoice capture. Pulsify gives each company its own email address, reads every invoice line by line and creates the vendor bill in NetSuite.

Last checked

Invoice capture means getting supplier invoices out of email and paper and into your system as data, without typing them in.

What NetSuite does on its own

Oracle Bill Capture reads PDF, JPEG and PNG files and fills in a vendor bill, but Oracle lists it as available only in the United States. On an Australian account bills are keyed on the Enter Bills screen, or brought in with CSV import. Supplier PDFs can be attached to the bill record.

  • Not offered to Australian accounts.

What you need in NetSuite

  • Permission: Bills (Edit) to key a bill
  • Import CSV File permission to import bills

Setting it up in NetSuite

Where to find it: Transactions > Payables > Enter Bills

  1. Go to Transactions > Payables > Enter Bills and pick the Custom Form.
  2. Type the supplier invoice number in Reference No. and pick the Vendor.
  3. Check Account, Date, Due Date and Posting Period.
  4. Add the lines on the Expenses or Items subtab and click Save.
  5. For many bills at once use Setup > Import/Export > Import Tasks > Import CSV Records, with Transactions as the record type and Vendor Bill as the import type.

Good to know in NetSuite

  • Bill Capture also takes bills by email through the Transaction Email Capture SuiteApp, but the same US-only note applies.
  • CSV import is meant for bringing in open payables. Oracle says it is typically not used to link bills to open purchase orders.
  • Bills made by CSV import are not sent through SuiteApprovals routing.

How to do it in NetSuite

How to enter a vendor bill with line items in NetSuite

In NetSuite, open a new vendor bill, pick the vendor, add one line per invoice row with an account and tax code, then check the total matches the invoice.

How to import vendor bill records from a CSV into NetSuite

In NetSuite, use the import template for vendor bill records. Fill one row per line, keep the same invoice number on every line of a bill, test with a few rows, then import.

What Pulsify adds

  1. Each company gets its own Pulsify forwarding address. Suppliers send invoices there, or you forward or upload them.
  2. Pulsify works out what each file is (invoice, credit note, supplier statement or purchase order) and splits a PDF that holds several invoices.
  3. It unwraps ZIP files and converts Word, Excel, CSV and phone photos.
  4. Each invoice is read into header fields and line items for review.
  5. On approval Pulsify creates the vendor bill in NetSuite with the source file attached.

What Pulsify does not do

  • Files over 25 MB are not accepted.
  • Pulsify is a web app that installs to a home screen. It is not in the app stores.

Common questions

Can NetSuite read a supplier PDF in Australia?

Oracle states Bill Capture is available only in the United States. In Australia, bills are keyed by hand or imported by CSV, or a partner capture tool is used first and the result is entered or imported.

Can I import vendor bills from a spreadsheet?

Yes. Use Import CSV Records with Vendor Bill as the import type. Map the vendor by ID rather than by name. Put a unique ID on every bill line. Keep each transaction under 5000 lines.

Do suppliers need to change anything?

No. They keep sending PDFs by email. You give them your Pulsify address or forward invoices to it yourself.
