PO matching means checking a supplier bill against the purchase order it belongs to before you pay it.
What NetSuite does on its own
3-way match of bill, PO and item receipt with exception routing.
- Needs Advanced Receiving and the workflow.
What you need in NetSuite
- Purchase Orders and Advanced Receiving features
- NetSuite Approvals Workflow SuiteApp (3 Way Match workflow) or SuiteApprovals exception criteria
- Approval Routing and SuiteFlow
Setting it up in NetSuite
Where to find it: Transactions > Payables > Bill Purchase Orders
- Turn on A/P, Purchase Orders, Advanced Receiving, Approval Routing and SuiteFlow.
- Install the NetSuite Approvals Workflow SuiteApp (bundle 537941) or SuiteApprovals.
- Receive the goods with Transactions > Purchases > Receive Order, so an item receipt exists.
- Bill from the PO using Transactions > Payables > Bill Purchase Orders.
- Bills that differ from the PO or receipt route to the supervisor. Clean bills approve automatically.
Good to know in NetSuite
- Service and expense lines do not get an item receipt, and partial receiving does not work for expense lines.
- Oracle says the 3 Way Match workflow does not support partially received item receipts.
- Once a bill is entered against PO items, another bill cannot be entered against the same items until the first is processed or cancelled.
How to do it in NetSuite
How to match a vendor bill to a purchase order in NetSuite
In NetSuite, open the purchase order, compare each vendor bill line to the purchase order line on quantity and unit price and query any difference before you approve.
How to handle a partial delivery against a purchase order in NetSuite
Yes. Go to Transactions > Purchases > Receive Order, tick Receive on the items that arrived and enter the quantity. The PO shows Partially Received. Partial receiving does not work for expense lines.
How to set a price tolerance on purchase order matching in NetSuite
Yes, through the NetSuite Approvals Workflow SuiteApp. Set Amount Tolerance and Quantity Tolerance on the item, vendor or subsidiary record. There is no separate unit price tolerance field.
What Pulsify adds
- Your open purchase orders come into Pulsify from NetSuite.
- Pulsify links each invoice to its purchase order.
- It matches each invoice line to a PO line and flags lines that bill more than ordered, are priced differently or are not on the PO.
- A panel shows how much of the PO has been claimed, what this invoice adds and what is left. This handles part deliveries and progress claims.
- Approve. The vendor bill is created in NetSuite against the purchase order.
Pulsify connects to NetSuite. We set up the connection for you. More about PO matching in Pulsify.
What Pulsify does not do
- PO matching is two-way: invoice to PO. Pulsify has no goods receipts.
- There is no tolerance setting. Pulsify compares to the cent and the approver decides.

Common questions
Does NetSuite 3-way match need Advanced Receiving?
Yes. Oracle lists Advanced Receiving among the features to turn on, along with Purchase Orders, Approval Routing and SuiteFlow. You also install the Approvals Workflow SuiteApp or use SuiteApprovals exception criteria.
What happens when a bill does not match the PO?
The workflow sends the bill to the supervisor as an exception. Bills with no exceptions are approved automatically. Tolerances for quantity and amount are set on the item, vendor or subsidiary.
Does Pulsify stop a bill with a price difference?
No. Pulsify flags the difference on the bill. The approver decides whether to approve, reject or send it back.
