IFS CLOUD

Line item coding for IFS Cloud

Short answer

IFS Cloud has line item coding built in. Pulsify reads each line and suggests its account and tax code from how that supplier was coded before.

Last checked

Line item coding means giving every line on a supplier bill its own account, tax code and tracking, not one code for the whole bill.

What IFS Cloud does on its own

Cost postings are entered for each invoice with the company's code parts. Pre-posting defaults appear when you press Tab on a new posting line. The invoice posts when the Balance is zero. Posting instructions on PO lines give default accounts for PO invoices.

What you need in IFS Cloud

  • Supplier Invoice user role

Setting it up in IFS Cloud

Where to find it: Financials > Supplier Invoice > Manual Supplier Invoice > Post Supplier Invoice

  1. Open the invoice and add a posting line for each account.
  2. Press Tab in a new posting line to show pre-posting defaults.
  3. Enter the other code parts and the amount.
  4. Check that the Balance is zero.
  5. Post the invoice.

Good to know in IFS Cloud

  • Posting lines are amount based and the Balance must be zero before final posting.
  • Posting proposals hold the coding until it is authorised.

What Pulsify adds

  1. Pulsify reads each invoice into individual line items.
  2. Each line gets its own account and its own tax code.
  3. The account comes from how that supplier's past bills were coded. The tax code comes from the rate printed on the line.
  4. You check every value on an editable review screen before approval.
  5. Bulk edit sets the account and tracking on every line of one invoice, or on many invoices at once.

What Pulsify does not do

  • Pulsify aims for 99% accuracy on account and tax coding per line. You still review before approval.
  • Splits are by line amount. There are no percentage splits.

Common questions

Can IFS split an invoice over several accounts?

Yes. Add a posting line for each account with its code parts and amount. The invoice posts when the Balance is zero.

Can I recode before posting?

Yes, through the posting proposal. After final posting, reverse and rebook.

Where do PO invoices get their accounts?

From the posting instructions on each PO line.

Do I need to set up coding rules?

No. Pulsify learns from how your team coded past invoices for each supplier. A coding note in the forwarding email is followed first.
