Line item coding for NetSuite

Short answer

NetSuite has line item coding built in. Pulsify reads each line and suggests its account and tax code from how that vendor was coded before.

Last checked

Line item coding means giving every line on a supplier bill its own account, tax code and tracking, not one code for the whole bill.

What NetSuite does on its own

Account, department, class, location and customer or project on each bill line, plus a tax code on the vendor and transaction.

  • Percentage splits need Transaction Line Distribution and certain roles.

What you need in NetSuite

  • Departments, Classes or Locations turned on under Setup > Company > Enable Features
  • Transaction Line Distribution for percentage splits
  • Custom CFO or Custom A/P Clerk role to distribute lines

Setting it up in NetSuite

Where to find it: Transactions > Payables > Enter Bills > Expenses and Items > Expenses subtab

  1. Open Enter Bills and go to the Expenses subtab.
  2. Add one line per cost with an Account and Amount.
  3. Set Department, Class and Location on each line if you track them.
  4. Set Customer or Customer:Project on the line for job costs, and a Tax Code if your tax setup shows it.
  5. Check the lines add up to the bill total and click Save.

Good to know in NetSuite

  • Each plain expense line carries a fixed amount. Percentage splits need Transaction Line Distribution.
  • Stock items go on the Items subtab with Item, Quantity and Rate.
  • A default Expense Account and Tax Code can be set on the vendor.

What Pulsify adds

  1. Pulsify reads each invoice into individual line items.
  2. Each line gets its own account and its own tax code.
  3. The account comes from how that supplier's past bills were coded. The tax code comes from the rate printed on the line.
  4. You check every value on an editable review screen before approval.
  5. Bulk edit sets the account and tracking on every line of one invoice, or on many invoices at once.

What Pulsify does not do

  • Splits are by line amount. There are no percentage splits.

Common questions

Can I split one NetSuite bill line across departments by percentage?

Yes, with Transaction Line Distribution. Pick a Default Distribution Template or a Line Dist. Template. Oracle says only the Custom CFO and Custom A/P Clerk roles can apply templates on bills. Weight percentages must total 100%.

Which tax code applies to an Australian bill line?

Pick a code on the line, such as NCT-AU for non-capital purchases with GST or CPT-AU for capital purchases. UNDEF-AU appears when NetSuite cannot decide, and it should be fixed before the BAS.

Do I need to set up coding rules?

No. Pulsify learns from how your team coded past invoices for each supplier. A coding note in the forwarding email is followed first.
